Special events can be an opportunity to raise the visibility of an organization – and to raise money.

Asking the right questions:

Before you decide on an event, try to identify all the tasks required for it to be a success. A handy tool for assessing and planning special events are the five Ws:

What

  • What kind of event?

  • What is the budget in time and resources?

  • What tasks need to be done before the event?

  • What needs to be done the day of the event?

Who

  • Who will help?

  • Who are your potential “customers”?

When

  • When is a good time for the event?

  • What are your other time commitments?

  • What else is going on in the community?

Where

  • Where will you hold the event?

  • How do you arrange it?

Why

  • Why choose this event?

  • Why will your 'customers' support it?

Many events, one goal

Most events are more successful if you receive local publicity and can gather together a group of friends, family or volunteers to participate. Here are some special events ideas. Please contact us if you have ideas you want to add to our list:

  • global potluck

  • concert

  • silent auction

  • raffle

  • theme party

  • ‘-athons’ (dance-athon, etc.)

  • product sale

  • spare change collections at other events

  • arts/crafts sale

  • yard sale.

After you decide on an event, you need to plan and create a task checklist:

  • making a schedule

  • booking space

  • getting donated products, cash or services

  • arranging entertainment

  • food preparation

  • media and publicity

  • printing tickets

  • posters

  • creating info display on CUSO-VSO.

Do’s and don’ts

Do:

  • Keep it safe and legal.

  • Seek advice from and check with your city hall for any necessary permission, licensing or health and safety issues.

  • Contact you local police if you are planning an event in an outdoor place.

  • Consider first aid requirements.

  • Remember to include on all of you publicity material the following statement: “All proceeds/profits will go to CUSO-VSO, a registered charity.”

  • Keep track of full names and addresses of donors for acknowledgement or receipting.

Don’t:

  • Do anything dangerous or illegal.

  • Allow commercial organizations to use CUSO-VSO’s name or logo without written permission. If you wish to involve companies in an event and they want to use our name for their commercial benefit, please contact us.
